How to handle a new voting matter
While you have access to using Zoom polls, we strongly recommend using the GetQuorum Real-Time Voting tool (RTV) for any new voting matter or resolution that may arise in the meeting. As the host, consider the following points when deciding which option would be best given your voting scenario:
Use RTV when:
- You need to include advanced votes, such as from proxies
- You need to exclude votes from any ineligible voters (i.e. units in arrears)
- You need to account for weighted votes from multi-unit owners
Use Polls when:
- You are running a simple or routine motion, such as closing the nomination period
- It is acceptable for ineligible voters to participate in the poll
- You are simply looking for a show of hands
How to add a new voting matter
- On the vertical navigation bar on the left side of the Dashboard, click the "Questions" tab.
- Once in the "Questions" tab, click the blue "+CUSTOM QUESTION" button under the Live Vote section on the right-hand side of the screen.
- You'll notice a "New Question!" appears at the bottom of the "Live Vote Questions" section. When you click it, you'll be brought to a new page that will allow for customization of the question.
Creating an Owner Occupied Voting Question
The section below demonstrates some of the additional options that can be enabled for an Owner-Occupied voting matter
- To limit the voting matter to only owner-occupiers, click on the "Owner-Occupied Question" toggle.
- By default, the option " Allow all units to self-declare as Owner-Occupied" is on.
- To confirm that the owner occupied data has been uploaded, navigate to the Membership tab from the left-hand menu.
- From the Membership tab, you'll know owner-occupied data has been provided if you see under the "Custom Data" column on the far right, " owner_occupied: true" and "owner_occupied: false." Both of these need to be present for the restriction to work properly.
FAQ
1. What if I need assistance with setting up a new voting matter?
If you're having technical difficulties, please reach out to your level 1 support team member, and they can assist you
2. Why can't I just use a Zoom Poll for a new voting matter?
We recommend using RTV for new matters to ensure that any ineligible voters are excluded from participating in the new voting matter and to ensure that any units that are weighted differently (i.e. a multi-unit owner) is accounted for.
