This article covers how to identify and how to combine voting shares for owners of multiple units.

Identifying Owners of Multiple Units

1. Head over to the Membership tab. If the corporation has multi-unit owners, you will see an indication of this on the top-right side of the search bar.

Note: if you do not see an indication, this means that there are no multi-unit owners currently in the system. If you think this is an error, please reach out to your Customer Success Manager.

2. To filter the Membership list down so that you are only viewing the multi-unit owners, click on the blue Filters button just below the indication.

3. A side-bar will appear on the right-hand side of your screen. Under the Filters options, you will see an indicator next to "Multi-Unit Owners". Click on "Multi-Unit Owners" to enable the filter.

4. Click on the grayed out Membership part of your screen to close out the Filters menu. You will see that the membership list has been filtered down.


Voting Shares

  • Assuming GetQuorum was provided with the correct owner data, the owner will be added to each of their owned units with the same email address, and will receive communication to each of their units (i.e. meeting notice, meeting registration).
  • To make advanced or live voting easier for the owner, it's possible to consolidate all of the owner's voting shares under one unit: this way the owner will only need to submit one proxy or vote once and all of their votes will be cast accordingly.
  • What will this look like in the system?  Head over to the Membership tab.As an example, we can see that Maggie Simpson is the owner of both units 1 & 2. Under the custom data, shares = 2. This means that both of Maggie's voting shares are under Unit 1.
    • Therefore, Maggie's other unit is set to 0 shares
    • At the meeting, Maggie will only need to vote one time, under unit 1, but her vote will count twice 


How to Update Voting Shares 

Note: if there is an owner occupied election, you may need to separate the owner's votes.
  • In the event that you discover there is an owner present at the meeting who owns more than one units, you can set up a custom field so that all voting shares are under one unit.
    • Please note that you will need to ensure that the other unit(s) have zero voting shares 
  1. Head over to the Membership tab, and search by the owner's name or email address to pull up all of their owned units.
  2. Click into one of the units and click on "+ add field".
  3. In the dialogue box that appears, enter in the total number of units owned (i.e. 2 units = 2 shares) and hit Save. 

4. Once you have set the voting shares, you will need to set the other owner's unit(s) to 0 shares, by following the same steps as above.

5. When it comes time to vote, send the owner their RTV link or email from the unit with the voting shares.


FAQ

1. Do I have to combine the owner's voting shares under one units?

Nope! The owner can and may want to vote separately for each of their units. 

2. What if an owner of multiple units has submitted a proxy?

This will depend on whether they submitted a proxy for each of their owned units; if not, you can follow the same steps as above

3. How do unit shares affect the attendance numbers for quorum purposes?

When a unit is set to 0 shares, the Dashboard will count this as an "ineligible" unit. This means that any unit that is set to 0 shares will not be counted towards the 'Eligible Units in Attendance' on the Overview page

4. How do I remove the filter?

Click on the Filters button. In the right-hand side bar, click on the "X" next to Filters to remove all filters. Alternatively, to remove one filter, click on the filter (i.e. Multi-unit owner) to unselect it.
