Housekeeping: helping attendees participate

At the beginning of the meeting, hosts should run a brief housekeeping session with attendees to ensure they know exactly how to participate in the virtual format.

Why run a housekeeping session?

  1. A housekeeping session ensures all attendees know how to participate in the virtual format
  2. It makes the attendee virtual meeting experience smoother
  3. It will make your job as host easier if you have less troubleshooting later on in the meeting

How to run a housekeeping session?

  1. We recommend using a slide presentation to run your housekeeping session. It provides useful images and a detailed set of speaker notes so you don't forget anything.
    1. You can access GetQuorum's version through the Webcast tab of every meeting card! Feel free to download this and modify it to your liking.
  2. If you don't want to use the slide deck, we recommend at a minimum explaining at a minimum how attendees can complete the following tasks:
    1. How to get technical help
    2. How to fix audio issues
    3. How to participate in motions
    4. How to revoke/cancel their proxy
    5. How to cast their live vote
    6. How to participate in QA sessions 
    7. How to use the QA box
    8. How to use the raise hand feature
  3. You can also opt to do a recording of the housekeeping session and then play the video on the screen share at the beginning of the meeting if you do not wish to do this live.

Accessing the presentation in the Dashboard

  1. Navigate to the webcast tab in the Dashboard
  2. In the middle of the page, click on the slides tab in the blue menu
  3. Scroll down and click on Condo Housekeeping/Tutorial Slides (Meeting - IP)

Presenting the Google Slide Deck in Presenter Mode

  1. Press the Slideshow button in the top right corner
  2. The presentation will open up in full screen presenter mode
  3. Hoover over the 3 dots in the bottom left corner to open up your speaker notes
  4. Drag your speak notes off your shared screen and then put your presentation back in full screen mode by pressing F11 on PC or pressing Control + Command + F on a Mac.


FAQ

  1. What if some attendees arrive late to the meeting?
This is normal! Before you begin your first ballot vote period, we highly recommend repeating the instructions for how attendees can revoke/cancel their proxy and vote live.
