Partner Hosts can easily resend attendees their RTV ballot via email or by a URL  in order that they can vote live at the meeting

Confirming the voter is eligible

Before you send the voter their voting portal link, you will want to cross-reference that this is not an owner from an ineligible unit, such as from being in arrears.

  •  If the owner is ineligible, you can reply to them, letting them know the reason or to contact the property manager.
  •  If the owner is eligible to vote, follow the steps below to send their unique voting portal link.


How do I resend the vote link via email?

If an owner let you know that they did not receive the email to access their voting portal, you are able to resend it through the Membership Tab on the Dashboard. 

  1. Go to the Membership tab.
  2. Find the unit number of the attendee and the member's name.
  3. Press the "Invite" button to resend their meeting invite, which will provide them with a link to the voting portal.Example of the member invite:

What if an attendee doesn't receive the email I resent them?

Sometimes an owner will not be able to access the email even after you resend it due to their spam filters or challenges navigating between the Zoom window and the email client. In these scenarios you can send them their live vote URL through the Q&A or Chat.

  1. Navigate to the Membership tab.
  2. Find the unit number of the attendee.
  3. Click on their name and email field. 
  4. In the Edit Voter box click on the three dots in the top right corner.
  5. Click on the blue copy button by the Live Vote URL

Once you have copied the Live Vote URL you can either sent it via the Q&A box or a private chat to the attendee.

Sending the voting link via the Q&A box

You can respond to an attendee who has indicated they don't have their email via a private written response. 

  1. Open the Q&A box.
  2. Click Type Answer on the question.
  3. Check the "Send privately" option.
  4. Paste the live vote URL in the text field.
  5. Press send.
  6. The question will then appear in the "Answered" tab.


Sending it via the Chat Button

Even though attendees cannot send or reply to chat messages, they can receive them. Typically attendees have an easier time locating the chat feature, so you can also send the Live Vote URL through here.

  1. In the Participants box on the Attendee tab, find the correct attendee and hoover over their name so you can see the more button.
  2. Click Chat which opens your Chat box.
  3. You will see the specific attendee and all panelists will receive the chat.
  4. Copy the live vote URL into the chat.
  5. Best practice is to also verbally let the attendee know that you have chatted them a link so they can be sure to check it.


How can I tell if an Owner has successfully voted live?

  1. Navigate to the Overview Tab in the Dashboard
  2. Click on View Votes
  3. Use the search bar to check to see if the specific unit has voted
  4. You can also filter by question if you just want to confirm if they have submitted for a specific matter

FAQ

What should I do if I notice the unit has still not voted after resending the ballot?

You can reach out to the unit via the chat or verbally ask them to send you a Q&A message if they are still experiencing issues.

You may wish to resend them their live vote URL via the chat and verbally let them know just in case they haven't received the email. You can also extend the live question in order to give them more time to vote.
