Transcription Options in Zoom
There are several options with how meetings can be transcribed in Zoom, each having their own advantages and drawbacks.
- Live Transcript (Auto Transcription): Zoom can automatically generate live captions if the setting is enabled. It is easy to set up, there is no additional cost, and there is very little delay for the reader. Unfortunately, because the captions are automatically generated, there are limitations to its accuracy with transcribing: things will be misspelled and there will be grammatical errors.
- Assigning a Transcriber: as the host, you can assign either yourself or a panelist in the meeting to transcribe and type out live captions. The steps to set this up are similar to the option above. This option does also provide more accurate captions as they are not auto-generated. As a drawback, you will need to ensure there is someone at the meeting who can be the designated closed captioner.
- Third Party API Token: you can add closed captions by providing the third-party closed captioning service with the the caption URL. The caption URL allows the third-party service to stream text from their closed captioning software to the Zoom webinar. You can learn more about this through Zoom.
- Please note that GetQuorum does not currently have a third party closed captioning service integrated into our system
- If you would like to use this option, please send an email to support@getquorum.com at least 1 business day prior to the virtual meeting to ensure setup.
How to enable live transcription
- First, you will need to start the meeting as the host from the Dashboard.
- Once you have launched the meeting, click on "Live Transcript" at the bottom of your Zoom control panel.
- In the window pop-up, you will see four options for transcription (please see section above). Choose the option you'd like to use.
FAQ
1. If live transcription is turned on, is there a way for attendees to disable it?
Yes: if the live transcription is on, each attendee has the option of enabling and disabling the feature
2. What if there is an ASL interpreter present at the meeting?
We recommend spotlighting the interpreter (must be a panelist) so that the attendees will always be able to see the interpreter on their screen.
How to prepare
- Set your view to Speaker by locating the change view option in the top right corner of your Zoom window
- Locate the More button in the bottom right hand side of the Participants box. Under Attendee View Layout select Follow Host's View
How to spotlight
- Hover over the video of the first panelist you'd like to spotlight (ie. the current speaker) and press the "..." button then select Spotlight for Everyone
- Hover over the video second panelist you'd like to spotlight (ie. the interpreter) and select Add Spotlight
- To remove a spotlight you can either press the "..." again or press the option on the top left corner of their video
