Sending Dress Rehearsal Invites

How to add panelists to the GetQuorum Dashboard and send them an invitation to dress rehearsal prior to the meeting.

Setting Dress Rehearsal Dates and Times

  1. Navigate to the the Webcast tab on the Dashboard.
  2. Scroll down and select the correct dress rehearsal date; the default setting is to have the Dress Rehearsal one
  3. Set the correct start time for the dress rehearsal.
  4. Ensure you press save once the date and time are correctly inputted. 

Adding Panelists to the GetQuorum Dashboard

Typically, you will want to run your dress rehearsal with your panelists (i.e. board members, solicitor, property management). You can add panelists to the Dashboard through the following steps:

  1. Enter the full name and title of the panelist as you would like it to appear on the call underneath their video image.
  2. Copy and paste their email into the email field.
  3. Click Add.

Panelists who are also Owners in the Membership Tab

When you are adding panelists who are also owners in the Membership tab, their emails must match for voting purposes. If a panelist who is also an owner does not have the blue icon (see below) beside their email, you will need to update their email on record in the membership tab to match their panelist invite.


Sending Dress Rehearsal Invitations

After you correctly input the dress rehearsal time and added the panelists, you can proceed with sending them an invitation to the dress rehearsal through the following steps:

  1. Double check one last time that your dress rehearsal date and time have been saved correctly.
  2. Check off the panelists you would like invited to the dress rehearsal. 
  3. Press the "Send Rehearsal Invite" button.
  4. You will receive a message "Rehearsal Invites Sent" and a date and time stamp will appear to indicate it has been sent

Panelists receive 1 email

The Panelist Rehearsal email contains their link which they will use to join both the rehearsal and the actual meeting. If they can't make rehearsal, it lets them know to use the same "Click to Join" link to join the actual meeting as a panelist.

The panelists can add the calendar event for the rehearsal to their calendars through the email as well. 


FAQ

1. How can I tell if a panelist has received their dress rehearsal invitation?

You can see a little green eye icon as well as the date when a panelist has successfully opened their dress rehearsal invitation email.

2. What if we need to update the time and date of dress rehearsal after the initial invitation is set?

You can update the dress rehearsal date and time and resave. You can then resend the dress rehearsal invite. We recommend also sending a quick note to all panelists to let them know that the dress rehearsal time has been updated and that they should have received an updated invite.

3. Is the Dress Rehearsal a different Zoom link?

No. The Panelist Rehearsal and the meeting link are the same. Panelists will only need to use the Rehearsal link if they are joining the rehearsal, and they can simply stay in the meeting with their cameras and microphones off during registration.

4. What is the SEND PANELIST INVITE button?

If you don't want the panelist to receive an invite to rehearsal you can just use the Send panelist invite instead!
