What is the Dress Rehearsal?

  • We find that it's best practice to hold a rehearsal prior to the virtual meeting. This gives you an opportunity to confirm the meeting procedures and strategic items, and provide the panel with an overview of how everyone will be able to participate in the virtual meeting.
  • As a default, GetQuorum will set up the Dress Rehearsal one hour to the virtual meeting; however, you can update this to a different time under the Webcast tab in the GetQuorum dashboard.
  • The Dress Rehearsal typically includes all panel members, which is the equivalent of the virtual head table (i.e. the chairperson, legal counsel, property manager, auditor, board members, etc.).

Schedule Your Dress Rehearsal

  • As a default, your Dress Rehearsal will be scheduled one hour prior to the meeting. 
  • If you would like to hold a rehearsal at a different date and time, you can update this by heading to the Webcast tab. 
  • You will see Dress Rehearsal Settings towards the bottom of the page. Click on the Date and Time fields to change them to the desired date/time.  
If you are holding the rehearsal on a different day than the virtual meeting, we recommend sending your panelists two invites (one for the rehearsal and one for the virtual meeting).


How to Start the Dress Rehearsal & Meeting

  1. Once it is time to start the dress rehearsal, head over to the meeting card in your GetQuorum Dashboard
  2. Click on the Webcast tab and stay on the Settings page
  3. You will see a link that says Start as Host next to the webinar ID. Click here to start the meeting.

Once you have started the webinar, you will need to check the following settings in Zoom: 

Once you have launched the Zoom webinar, you will want to check the settings of the meeting, such as:

  • Changed your panelist name to Full Name (Moderator)
  •  Panelists can start their video
  •  Chat is set to No One (or Everyone, if required)
  •  Q&A has anonymous questions disabled

FAQ

1. Is a dress rehearsal really necessary?

It's definitely recommended! Even if it is just a quick meeting between yourself, the chairperson, and the property manager, it is best practice to ensure everything is in order for the meeting.

2. A panelist is having trouble joining the Dress Rehearsal.

There are a few reasons why a panelist may have trouble joining:
  1. The panelist may be trying to join the dress rehearsal from the wrong invite (i.e. owner invite)
  2. The panelist may not be able to find their invite; make sure you have the correct email address, resend it, and let the PM know that they should check their spam folder if its not in the primary inbox
  3. Someone on the panel may have shared their meeting link; ensure that all panelists have a unique link that they joined the meeting with

4. Can I resend a panelist invite?

You sure can! First, make sure that the panelist has checked their spam folder. You will also want to confirm that the email address is correct. 

If you do need to resend the invite: from the meeting card in your GetQuorum dashboard,  click on the Webcast tab and head to the Panelists page. Check off the box for the panelist(s) that you would like to resend the invite to, then click on both Send Zoom Invite (Panelist Invite for the Virtual Meeting) and Send Rehearsal Invite.

3. What if a panelist still can't get into dress rehearsal?

You can dial them into the webinar manually, under the Participants window in Zoom.

4. Can I hold more than one rehearsal with the Zoom webinar?

Yes, you can accommodate this by changing the Dress Rehearsal date and time. Please ensure that you are sending out the panelist invites with any date/time adjustments.
